A WhatsApp AI chatbot for business, built on your data
It is 10 at night in Delhi, the shop is closed, and three customers have sent "ye available hai?", "fees kitni hai?" and "order kab aayega?" on WhatsApp, and by the morning one of them may already have bought from whoever answered first. A WhatsApp AI chatbot for business is what replies to them at that hour, on your own WhatsApp number, while they are still interested.
Meta's own AI agent inside the WhatsApp Business app can handle simple questions from your profile and catalogue. When your answers depend on today's stock, bookings, orders or a team of people, a custom assistant connected to your sheets and systems does that job, and that is what PageJi builds in Delhi. We built one on the WhatsApp Cloud API with Google Sheets behind it for Abhishek Buildwell, a Delhi NCR real estate consultancy, and we still manage it, so what we explain here comes from looking after a live assistant that real customers use.
If you sell property, our page on the AI assistant for real estate covers that side, and this page is for every other business that runs on WhatsApp.

What Can a WhatsApp AI Chatbot Do for Your Business?
A WhatsApp AI chatbot takes over the repeated part of your WhatsApp conversations: it answers from your own information, records every enquiry and hands the chat to a person at the right moment. Here is each part we can set up for you, and what it can mean for your business.
1. Instant answers to the questions you get every day. Timings, location, fees, delivery areas and return policy come up again and again in almost every business, so we set up clear answers to them from information you check and approve. Customers get an answer while they are still interested, which usually means your team stops typing the same reply all day.
2. Answers from your live stock, price list or services sheet. In the assistant we run, the answers come from a Google Sheet of the client's listings, so the reply follows what the sheet actually says today. We can set up the same for your stock, prices or services, whether they sit in a sheet, your online store or another system you use. Who keeps that sheet up to date is your choice: your own team can update it, or if you would rather not, we update it for you. This usually means fewer "let me check and come back" replies, and fewer customers who never hear back. Our page on AI agent development explains how we approach custom AI agents more broadly.
3. Every enquiry saved as a lead. Each conversation lands in a Google Sheet or your CRM with the customer's name, number and what they asked, and if you do not have a CRM yet, we can build a simple custom one for your team. No lead lives only in someone's phone, and over a few months you get a clear view of what people ask for most.
4. Bookings inside the chat. Whether it is a clinic slot, a demo class, a consultation call or a store visit, the assistant offers the slots you set, the customer picks one and a confirmation is sent. The booking happens while the customer is keen rather than on a callback the next day, which gives you a better chance that it turns into a real visit.
5. Order status and delivery questions for online stores. For a Shopify, WooCommerce or Wix store, or a simple order sheet, we can build the assistant to look up the customer's order and reply with where it stands. That can take many "where is my order?" chats off your team, and if the store itself needs work, we also handle ecommerce website development.
6. Handover to the right person. When a customer wants to negotiate, has a complaint or simply types "call me", the chat and their details go to the right person on your team. Your people then spend their time on customers who are ready, and they start the conversation already knowing what the customer wants.
7. Follow-ups, reminders and updates. We can build the assistant to send a quote follow-up, a booking reminder or a back-in-stock or new-batch message to customers who asked for it, using Meta-approved message templates and only to people who have opted in. Customers who were interested but got busy get a reason to reply again, without your team having to remember each one.
8. Replies in the way your customers write. Customers in Delhi type in English and Hinglish, with short forms and spelling mistakes, and "kitne ka hai?" means the same as "what is the price?". The assistant is set up to understand messages written that way, so customers do not have to rephrase their question to get an answer.
9. WhatsApp Business Platform set-up and ongoing care. We set up the Meta Business account, the WhatsApp Cloud API connection and the number. Your current number can be used as long as it is not already active on WhatsApp, and if it is, we set up a new number for the assistant. After launch we stay in touch so the answers keep up as your products, prices and timings change, which is what keeps an assistant on your own business number accurate months later, not only in the first week.
Is Meta's Built-in WhatsApp AI Enough for Your Business?
Meta Business Agent, the AI built into the WhatsApp Business app, is a sensible start for a small business with a few products and simple questions. Meta's pricing for it can change, so check its current terms before you rely on it. If your answers depend on today's stock, bookings, orders or a team, you need an assistant that reads your own systems.
In our experience the choice comes down to three things: how often your information changes, how many people reply to your chats, and whether you need a record of every enquiry to follow up later. According to WhatsApp, Meta's agent answers from your Facebook Page, past chats, website, catalogue and the documents you add, which works well as long as those rarely change.
Meta Business Agent (WhatsApp Business app) | Your own WhatsApp AI assistant (built by PageJi) | |
Where it runs | Inside the WhatsApp Business app on your phone | On the WhatsApp Business Platform (Cloud API) on your business number |
What it answers from | Your Facebook Page, past chats, website, catalogue, price lists and documents you add | Your live Google Sheet, store, booking slots or CRM, looked up at the moment of the question |
Changing stock or slots | You update the catalogue or information yourself | Changes in the sheet or system show up in the next reply |
Handing over | You flag topics and step into the chat yourself | The chat and the customer's details go to the right person on your team |
Lead record | Inside the app | Every enquiry saved in a sheet or CRM |
Other app features | WhatsApp's Help Center says turning on business AI may affect broadcast lists, disappearing messages, and message editing and deletion | Some app features, such as broadcast lists and disappearing messages, are not available on the Platform either, so updates go out as Meta-approved templates to opted-in customers |
Cost | Built into WhatsApp; Meta's pricing for it can change, so check its current terms (Meta's pricing documentation already lists Business Agent messages on the Platform as a charged category) | Set-up and care by PageJi, plus Meta's per-message charges (since 1 Oct 2026, service replies are charged from the 1,001st message per number each month) |
Best for | A small business with a few products and simple questions | Businesses whose answers change daily, or with a team handling chats |
Starting with Meta's agent and moving to your own assistant later is a perfectly sensible route, and the answers and lists you prepare for it are just as useful when you move. If you are not sure which side your business is on, tell us what your customers ask most and we can talk it through with you.
How Do You Know Meta's WhatsApp AI Is No Longer Enough?
The WhatsApp AI Assistant We Built and Still Run in Delhi NCR
We built a WhatsApp AI assistant for Abhishek Buildwell, a Delhi NCR real estate consultancy, and we still run it for them today, so what we build for your business draws on an assistant that real customers already use.
The situation. WhatsApp brought them a better response than their other lead routes, but people on their team were answering the chats by hand, so replies often took a long time.
What we built and what changed. We built the assistant on the WhatsApp Cloud API with Google Sheets behind it, so it answers from their own listings, saves every enquiry in a sheet, books visits into time slots with a confirmation sent, shares their website link for full details and hands buyers to the team, who usually pick the chat up within an hour or two, by which time the buyer already has the basic answers. Once answers came quickly, customers asked more follow-up questions and wanted more detail to make up their minds, which is exactly the conversation a salesperson wants to walk into.
What it taught us for any business. Customers usually ask the most basic question first, which there was the price, and then want either a booking or a person. So a good assistant answers that first question clearly and offers both next steps straight away, whether the first question in your business is the fee, the timing or "available hai?".
The systems behind it. An assistant is only as good as the tools behind it, and we build those too. For an Australian venture company we built a custom audio-response tool on Google Apps Script, Sheets and Drive, and PageJi runs its own content system that researches, writes and posts automatically, so connecting a WhatsApp assistant to your sheets, store or CRM is the kind of work we already do.
Can I add an AI chatbot to my WhatsApp Business number?
How Do We Build a WhatsApp AI Chatbot for Your Business?
We build it in five stages: we study your real chats, set up the data, set up WhatsApp properly, build the assistant and test it with real questions before launch. The order matters, because in our experience the information behind a chatbot decides how good it is far more than the AI does.
1. We start with your real chats. We look at the questions your customers send most and where each answer lives today, whether that is a sheet, a register or someone's memory.
2. We set up the data first. That means one clean sheet or a connection to your store or CRM, with prices as numbers and a clear status for each item, so the answers stay right as things change.
3. We set up WhatsApp properly. The Meta Business account, the Cloud API connection, the decision about your number and the message templates for follow-ups are sorted before the assistant goes live.
4. We build the assistant. The AI understands the message, code looks up the answer, and clear rules decide when a person takes over, so the assistant is not left guessing.
5. We test, launch and stay in touch. We test with real questions before launch, then keep adjusting as your products, prices and your customers' questions change.
One practical point we plan around with you is Meta's message charge. Since 1 October 2026, Meta charges per message for service replies on the WhatsApp Business Platform from the 1,001st service message per number each month, so we plan replies so that one complete answer does the work of three short ones. When a customer messages you from a click-to-WhatsApp ad and you reply within 24 hours, what Meta calls an entry point window opens for up to 7 days, in which Meta does not charge for those messages (Meta's pricing documentation), and if you run ads, our Google and Meta ads management can send those clicks straight into the chat.

What Else Can We Connect to Your WhatsApp Assistant?
Around the assistant, we can also set up what brings customers into the chat and the tools your team works from once they are in it. We plan and run Meta ads with a WhatsApp button, so a customer who taps the ad lands in a chat that replies at once, and we set up comment automation so people who comment on your posts get a reply too. We automate Gmail and email for quotes and replies, build websites and online stores on Shopify, WordPress and Wix with a WhatsApp link where customers expect it, and build a simple custom CRM or web app when your team needs one place to work from. We also create AI content for your posts, so there is always something giving people a reason to message you.
You can start with just the assistant, or let one team look after the whole path, which usually means fewer gaps where a customer gets lost between people. We work with businesses in Delhi and anywhere in India as well as overseas clients, and Dubai businesses are welcome to talk to us too, because the build is the same wherever your customers use WhatsApp.

What Do Your Customers Ask You on WhatsApp Every Day?
If you tell us, on a call or in a WhatsApp message, what your customers ask most, where your answers live today (a sheet, a store or a register) and who on your team handles chats, we can plan a WhatsApp AI assistant that answers from your own information and hands every serious customer to the right person, whether you are in Delhi or anywhere in India.
