One lead list for ads, portals, WhatsApp and calls
On Monday morning, a Delhi NCR builder's sales head has last week's leads in five places: a Meta lead form export, portal emails, WhatsApp chats on the office phone, missed calls on two salespeople's mobiles and a channel partner's message about a buyer he says is his. Nobody knows which buyers were called back.
A real estate CRM for builders is one list where every enquiry lands from any source, with each buyer moving through clear stages from enquiry to site visit to booking and the team reminded who to call next.
PageJi can set this up for builders, brokers and property dealers across Delhi NCR, either as a lead list in Google Sheets with automation that brings the leads in or by connecting your sources to a CRM you already use, which can mean fewer buyers left waiting and a clear view of which source brings site visits. If your leads sit in five places too, you can call or WhatsApp us on +91-8368074931.

Where Do a Builder's Property Leads Get Lost Before the Site Visit?
Property leads are rarely lost at the ad but in the gap after it: a lead form nobody downloaded, a missed call nobody returned, a WhatsApp chat on one person's phone or a portal email in a shared inbox.
Where the enquiry starts | Where it usually gets lost | What the lead list we set up does |
Meta lead form | Left in Ads Manager until someone has time | Pulled into the list as it arrives, with the ad it came from |
Property portal | Email alert in a shared inbox | Brought in where the portal allows an export or alert, or added in one tap |
Chat stays on one salesperson's phone | Chat details in the same list, with the assistant's handover if you use one
Phone call, missed call or Google ad call | Answered or remembered, never written down | Logged from a short phone form, with the campaign if it came from an ad |
Channel partner or walk-in | "Who brought this buyer first?" | First source and time recorded |
One detail most CRM guides skip: Meta's help page "About expired leads" says lead form data can be downloaded for only 90 days after a form is submitted (as of November 2026; Meta can change this). A builder who downloads leads "when there is time" can lose those buyers for good.
Here is what we would build for your projects.
One lead list fed by ads, portals, WhatsApp and calls. Each enquiry lands with its source, project and time and goes to that project's salesperson, so the sales head sees every new buyer each morning.
Sales stages that match a property sale. Enquiry, called back, site visit booked, site visit done, negotiation, booked, and lost with a reason, so you see where buyers drop off, not just how many came in.
The buyer's first questions saved with the lead. Abhishek Buildwell's buyers usually ask the price first, then about amenities, the exact location, possession and any hidden extra charges, so each row keeps these next to budget, BHK and project, and whoever calls back does not ask again.
Follow-up reminders so no buyer waits. The salesperson is reminded when a lead arrives or a call-back is due, and the sales head sees an overdue list. Our blog on how property agents get leads explains why the first reply counts so much.
First source and repeat numbers flagged. In Delhi NCR the same buyer often comes through an ad, a portal and a channel partner, and who came first decides a commission, so the list records the first source and time of each enquiry and flags repeat numbers, settling it with a record instead of an argument.
Which source brings site visits, not just leads. A weekly view by source, project and campaign shows which ads and portals bring people to the site, so budget moves to what works, and our Google and Meta ads management page covers the ads side, including sending site visits back to Google Ads.
Besides the test enquiries and first-week checks in the steps below, we would keep Meta's own lead ID with each form lead (as Meta's developer guide advises) so any row can be traced to its ad, check for duplicate numbers and give access only to the people you name.
Real Estate CRM Software or Google Sheets: Which Fits a Builder's Sales Team?
A large builder with many projects, a big sales team and a channel partner network may need a full real estate CRM, while a broker, a property dealer or a builder with one to a few projects often gets more from a well-built lead list first, because the hard part is getting every enquiry in and followed up, not the software.
Ready-made real estate CRM | Custom lead sheet or simple CRM we build
Getting leads in | Built-in connectors where they exist, set-up still needed | We connect the sources you use with automation |
Sales stages | Its own stages, adjusted to you | Your stages from day one |
Learning for the team | A new app to learn | Google Sheets and a short phone form |
What drives cost | Users, plan, add-ons and set-up | Number of sources, projects, automations and reports |
Most "best real estate CRM" lists are written by companies that sell one, while the questions that decide it are simpler: does it bring in every source you use, can a salesperson update it on the phone in seconds, does it follow your stages, can you export your data, and can it record consent and remove a buyer who asks. CRM features and plans change often, so check the current version before you sign. We do not sell CRM software, so either way our part is the set-up, as part of our work as an AI development company.
Setting Up Real Estate Lead Tracking: What Happens and What You Approve
Our Google Sheets Work for Abhishek Buildwell and Our Own Systems
Abhishek Buildwell, a real estate business in Vikaspuri, Janakpuri, Karol Bagh and Gurgaon, close to our Vikaspuri office, gets buyers from Meta ads who tap the ad's WhatsApp button or call directly, so its leads already arrive by two routes. Before we built its WhatsApp assistant, people on the team answered the chats and replies took a long time, so we built it on the WhatsApp Cloud API with Google Sheets behind it: it answers buyers from a sheet of listings, shares the website link, books site visits through time slots with a confirmation sent, and hands the buyer over to the team, who usually reply within 1 to 2 hours. Once answers came quickly, buyers asked more follow-up questions and wanted more information to decide faster. It is still running and we manage it; our WhatsApp AI property assistant page shows it in detail.
Our own content system also runs every week from a Google Sheet, with stages, approval ticks by a person and automation that posts the finished pieces, the same discipline a lead list needs.
We have not built a full CRM for a builder yet, so the lead list on this page is an idea of what we would build for you with the same kind of set-up.
What is the best CRM for real estate builders in India?
DPDP Rules 2025 and Real Estate CRM Data: What Builders Need to Plan For
India notified the Digital Personal Data Protection Rules, 2025 on 14 November 2025, with duties phasing in over 18 months. A builder's list of buyer names, numbers and budgets is personal data, so it will need clear consent, a contact person, deletion on request and a way to tell buyers after a data breach.
A lead list is exactly where this data sits, yet none of the CRM guides we read mention it. This is how the Press Information Bureau (PIB) describes the Rules, with "phasing in" meaning within the 18 months from November 2025.
What the DPDP Rules say | Status as of November 2026 |
The Rules are notified (PIB, 14 November 2025) | Already done |
A separate consent notice that is clear and easy to understand, and consent that people may withdraw at any time | Phasing in |
Requests from people about their data, such as erasure, answered within 90 days | Phasing in |
Affected people told without delay after a data breach | Phasing in |
A point of contact for questions about personal data | Phasing in |
So the lead list we build has this in mind from day one: each row records the buyer's source, the time and the consent wording shown on the form or chat; access is limited to the people who need it; a buyer who asks to be removed can be found and removed; and closed leads are kept only for a period you decide. This is how the Rules read as of November 2026, and your own legal adviser can tell you what applies to your business.
We send WhatsApp follow-ups as Meta-approved templates to people who opted in. Meta has announced a change for 2027: marketing messages sent through the WhatsApp Cloud API move to its Marketing Messages API, so we plan the switch before then (as of November 2026; Meta's plans can still change), and our real estate AI agency page covers the assistant side.
Can I use Google Sheets as a CRM for real estate?
Will Your Sales Team Actually Use It on Their Phones?
Real estate lead management often fails at builders because salespeople spend the day on site visits and calls, and by evening nobody wants to type, so we build for the phone. Each row has the fewest fields possible and arrives with the enquiry details filled in, a stage changes with one tap or a short form, and reminders come to the phone, so the salesperson only adds what happened. A short weekly look at what is overdue with the sales head keeps the list true without extra work.
